Before implementing the sSuite solution, resolving inventory discrepancies during goods receipt required extensive manual work and detailed analysis. One employee was responsible for daily investigations into the causes of discrepancies between documentation and the physical reception of goods, a task that often took an entire workday. Due to manual checks and communication via email, the process was slow, unclear, and prone to errors. The goal of the project was to digitize the entire workflow from detection to case resolution, and significantly reduce processing time.
By implementing sSuite, an automated process for recording and resolving discrepancies during goods receipt was introduced, based on the BPMN 2.0 standard. The system automatically detects differences between purchase orders, delivery notes, and the actual received quantities, and routes them to the responsible teams for review and approval. Automated notifications and control checkpoints were established, eliminating the need for manual searches and repeated email communication. Employees now have a clear real-time overview of all open cases and can close them efficiently.
After implementing the sSuite solution, the time required to resolve discrepancies was reduced dramatically. Instead of one employee spending an entire workday on checks and analysis, the job now required only 30 minutes per day.
